Commercial van hire: how to choose the right load capacity

Choosing the wrong van can mean having to make two trips instead of one — or paying for a larger vehicle than you actually need.

The challenge is that, without clear criteria, it is easy to underestimate — or overestimate — what you really need to transport when booking a commercial van hire service.

In this article, you will learn how to assess the right load capacity, which factors to consider before booking, and how to make an efficient choice for your business.

Why is load capacity one of the most important factors when choosing a van?

Because choosing the wrong vehicle can have a direct impact on your business. If the load capacity is too low, you may need to make more trips than necessary. If it is too high, you could end up paying for space you do not use and driving a vehicle that is less practical for everyday use.

That is why load capacity should be the starting point for any commercial van hire decision.

Load capacity vs load volume: what is the difference?

These are two different measurements, but both are important. A van may have enough load volume but not be able to carry the weight, or it may have plenty of payload capacity but not enough physical space.

Before booking, you should check both values.

Payload capacity (kg): this is the maximum load weight the van can carry. Exceeding this limit is illegal and dangerous, as it affects braking, stability and overall vehicle control. Always check this figure before loading the van.

Load volume (m³): this is the available space inside the load area, measured in cubic metres. It determines how many boxes, pallets or pieces of equipment can physically fit inside the van. Two vans with the same payload capacity in kg can have very different load volumes.

Why should you consider both payload and load volume?

A pallet of construction materials may not be extremely heavy, but it can take up a lot of space. A load of iron may fit into a small area, but exceed the van’s weight limit.

Only by considering both values together can you choose the right commercial van for the job.

How do you calculate the volume of goods you need to transport?

The calculation is simple: measure each item — length × width × height — add all the volumes together, and you will get the minimum number of cubic metres your van needs to offer.

The more accurate you are at this stage, the lower the risk of surprises when loading the vehicle.

Measure boxes and equipment

Measure the length, width and height of each item. For irregular shapes, use the maximum dimensions on each axis. Make a note of every item, not just the largest ones.

Calculate the space required

Multiply the three dimensions of each item — length × width × height — and add all the volumes together. This gives you the minimum load volume, in m³, that the van should have.

For the legal rules on carrying loads in Portugal, please refer to Article 56 of the Portuguese Highway Code.

Allow extra space for organisation and safety

Cargo never fills the load area perfectly. There will be gaps between items, and some goods may need to be secured properly.

Always add a margin of 15% to 20% to your calculated load volume. This gives you enough extra space to organise the cargo safely and avoid overloading or forcing items into the van.

How do you choose the right load volume when hiring a commercial van?

The right choice always depends on the total load volume you have calculated. In general, commercial vans can be grouped into three load volume categories, each suited to different transport needs.

Small load volume vans — up to 5 m³

Ideal for small urban deliveries and transporting tools or light equipment. They are easier to drive and park in the city, with better access to historic centres and narrow streets.

Medium load volume vans — between 6 and 10 m³

The most common choice for business needs. These vans can carry several pallets, furniture or a reasonable amount of construction materials, while remaining practical for everyday driving.

Large load volume vans — over 10 m³

Recommended for bulky loads, removals or large quantities of goods. To explore the models available for each type of need, see our practical guide to van hire.

What other factors affect the transport capacity of a hired commercial van?

Load volume and payload are the main factors, but the physical characteristics of the load area also determine what you can transport and how easily you can load it.

Height and width of the load area

Tall or wide items may fit in terms of volume, but still fail to pass through the interior dimensions of the van. Always check the internal height and width, especially when transporting furniture or industrial equipment.

Side and rear doors

Sliding side doors make loading easier in tight spaces. Rear hinged doors allow access with a pallet truck. In many cases, having both can make a significant difference to the operation.

Load distribution and securing

The heaviest cargo should be placed close to the axle and as low as possible. Items that could move during transport must be secured with straps — a legal requirement for certain types of transport.
